Responsibilities of Committee Posts:

 Group Chair

 

  • To further the objectives of the group.
  • Ensure that the group is run as specified by the IAM group handbook. Chair the main committee meetings.
  • Sit as a TSG committee member.
  • The delivery of short and long term strategies for the group and the IAM.
  • To attend or ensure that the group is suitably represented at the regional forum, national conference and external meetings.
  • To ensure that the group is providing members with an active calendar.

Duration: 12 months and has to be re-elected annually for a maximum of 3 years (ideally).

Vice Chair

  • To further the objectives of the group.
  • To Deputise for the Chair in his or her absence in the following:
  • Ensure that the group is run as specified by the IAM group handbook.
  • Chair the main committee meetings.
  • Sit as a TSG committee member.
  • The delivery of short and long term strategies for the group and the IAM.
  • To attend or ensure that the group is suitably represented at the regional forum, national conference and external meetings.

Duration: 3 years as the Deputy Chair is normally appointed in preparation for eventually becoming Chair.

Group Secretary

  • To further the objectives of the group.
  • To respond promptly to all enquiries and in particular those regarding Skill for Life and Membership
  • Act as Point Of Contact (POC) for all group enquiries from the public, other groups, agencies and Head Office (HO) (excluding IMI for which we have a separate POC).
  • Maintain DTE and ensure it is up to date.
  • Advise the Committee in respect of adherence to rules and regulations issued by HQ for the regulation of the Local Group
  • Deal with Skill for Life applications received from HQ and elsewhere Action test applications.
  • Act as Deputy to the Technology and Social Media (TSM) in his absence ensuring that Group mailings continue to be dealt with.
  • Distributing details of new associates to committee members.
  • Make arrangements for Committee and AGM meetings including distribution of proposal forms and ballot papers needed for election of Officers (see Group Handbook)
  • Producing agendas for monthly committee meetings and the AGM. Producing minutes for monthly committee meetings and the AGM.
  • Maintain the group membership database and distribute to committee members on a “need to know” basis.
  • Produce the Group Affiliated Return (GAR)

Duration: 12 Months and has to be re-elected annually.

Treasurer

  • To further the objectives of the group.
  • To produce accurate audited accounts annually with report for the AGM.
  • To keep all accounts up to date and report the state of the accounts at each committee meeting.
  • To maximise income from gift aid.
  • To be aware of trends and to notify committee members of any matters that could jeopardise the finances of CAM.
  • To produce a budget forecast ensuring that there are funds to meet the aims and objectives of CAM.
  • To advise the committee annually on the level of membership fees to be charged by CAM To liaise with group sub committees about proposed expenditure/income.
    To ensure that the charities commission list of trustees is up to date.

Duration: 12 Months and has to be re-elected annually.

Training Coordinator

  • To further the objectives of the group.
  • To allocate observers to associates.
  • To allocate observers to full members for rider development.
  • Arranging pre test check rides.
  • Arranging Group and Local three yearly standards check.
  • To coordinate observers under training.
  • To coordinate group radio training.

Events Coordinator

  • To further the objectives of the group.
  • To provide the group with an active events calendar.
  • To provide support /guidance to any member initiative event.
  • To meet as required with the events team to plan group activities.
  • To liaise with the treasurer regarding any cost/income financial matters.

Newsletter Editor

  • To further the objectives of the group.
  • To produce the quarterly group newsletter.
  • Invite members to contribute.
  • Ensure distribution.

Observer Forum Chair

  • To further the objectives of the group.
  • To debate and have general input on committee matters. To arrange a quarterly Observer Forum.
  • To Request and set items for discussion from group observers (including TSG report from TSG Chair).
  • To provide a means of communication for all matters concerning observing to the group observers. This may include:
  • Ensuring consistency in advice given to associates. Advise on any outstanding issues with associates.
  • Inform on change/reform.
  • Inform on IAM policy.
  • Promote development opportunities.

Webmaster (Technology and Social Media) (TSM)

  • To further the objectives of the group.
  • Maintain and update the club website.
  • Maintain and update an email database of members.
  • To jointly manage the club website with the club secretary.
  • To be the joint administrator / moderator of the club facebook page with the club secretary.

Committee Member without portfolio

  • To further the objectives of the group.
  • To debate and have general input on committee matters.

Duration of Posts: One third of other Committee Members must retire by rotation and may offer themselves for re-election by Group Full Members at the AGM.

Note: “Any Committee Member failing to attend three consecutive Committee Meetings (with or without apologies) between consecutive AGMs will be deemed to have resigned from the Group Committee, unless the failure was due to reason/s approved by the committee” 2013 Group handbook.
